Context
With increasing demands on efficiency and time savings while needing to retain valued staff, corporates seek ways to ensure their meetings are purposeful, focussed, impactful, and cost-effective.
Challenge
A global organisation’s central office mandated meeting reductions across all regions. Nationally, regionally, and locally, business units needed an approach to achieve this goal in a meaningful and effective way that was valued by their staff.
Approach
ViVA dissected company materials to align local activities with company intent. They facilitated an educative co-design workshop with national managers using human-centred service design methods to frame the aspirations, communication, and transformation strategies.
Outcomes
ViVA supported the business by dissecting meeting type and job role classifications in a nuanced way. ViVA applied decision-making matrices with the client, establishing targets on reduction of low-value meeting frequency, hours, and attendees. They mapped messaging to suit different user groups, and focussed on the aspirations of improving engagement, autonomy, and productivity with streamlined decision-making strategies. ViVA provided a roadmap for the national teams to test these ideas with one of their partner business unit leaders.
